POSITION DESCRIPTION As the Administration & Special Projects Coordinator, you are an administrative leader working with a fast-paced civic nonprofit, enhancing the quality of life in one of San Franciscos fastest-growing neighborhoods. You will be involved in every facet of operations for The East Cut Community Benefit District. From managing the day-to-day functions of the CBDs office to supporting the functioning of the Board of Directors, its committees, and other staff positions. If you are an accomplished multi-tasker, ready to handle bookkeeping, note-taking, scheduling, and managing special projects, you are poised to be part of creating a more livable neighborhood for residents, workers, and visitors. DUTIES Administration Oversee and/or perform duties associated with meetings and special events including creating and posting all meeting agendas, complying with the Brown Act, providing a record of meeting minutes, and organizing packets and all other meeting materials. Handle all purchasing and associated functions, including maintaining orders and supplies for the office. Work with vendors and IT service providers to keep office systems functioning smoothly at all times Create and revise systems and procedures by analyzing operating practices Compose and draft documents and correspondence for presentations, reports, marketing, and grants; perform substantial editing, proofreading, and fact-checking. Plan and schedule calendar(s) for Board of Directors and its committees with limited consultation, and resolve calendaring conflicts. Regular bookkeeping, including posting invoices and payments into financial software, preparing check requests for review and approval, and printing checks for signatures. Maintain and manage assessment database: Properly track and document new property development as it is built, completed, and occupied. Act as the first point of contact with the public and assist with answering and responding to inbound telephone and email requests. Assist in the creation, editing, and distribution of periodic email newsletters featuring The East Cut news, public meetings, and neighborhood events. Update and maintain The East Cut CBD website in coordination with the CBDs Strategic Communications & Marketing Manager. Ensure Board, Executive Committee, and additional committee members complete conflict of interest forms annually. Coordinate annual renewal of Workers Compensation, Unemployment, Auto, Property, and Board of Directors and Officers insurance policies. General office maintenance: planning logistics, performing upkeep and leasehold improvements, liaising with building management, maintaining electronic office filing system, and performing upkeep and scheduling regular servicing of office equipment. Special Project Support Support The East Cut CBD staff and directors with special projects as needed throughout the year Help plan and execute organization events as needed to continually reinforce The East Cut CBD mission and objectives, including securing artists, sponsors, and vendors, negotiating costs, maintaining a budget, coordinating a volunteer program, direct marketing efforts, and the overall execution of community events programming. Provide expertise, assistance, information, and advice as appropriate to project and department leads and/or project teams. Assist in scheduling meetings, committee involvement and participation, budgeting practices, project coordination, and more. EDUCATION & EXPERIENCE: Bachelors degree and at least two years of administrative experience, or a combination of less education and more relevant experience. KNOWLEDGE, SKILLS, AND ABILITIES: Advanced computer skills and demonstrated experience with Windows-based office software (Word, Excel, Outlook, and PowerPoint). Experience in Xero and bill.com a plus Familiarity with Adobe Creative Suite: Photoshop, InDesign, etc. Demonstrated success in following through and completing projects. Excellent organizational skills and attention to detail. Excellent interpersonal skills with the ability to communicate effectively with the public, board members, committee, and staff. Well-developed communication skills including speaking, writing and listening. Ability to prioritize, multi-task, and assign work to others. Ability to take initiative and ownership of projects. Ability to routinely and independently exercise sound judgment in making decisions. Ability to appropriately handle confidential information. HELPFUL TO HAVE An interest/background in urban planning, civic nonprofits, public policy, property-based improvement districts, and/or real estate a plus. Nonprofit experience a plus.
